Specific services, deliverables, and pricing are governed by individual service agreements, contracts, or written proposals executed between Exhibitravel and the client organization.
3. Client Responsibilities
Clients agree to:
• Provide accurate and complete traveler information
• Ensure compliance with applicable travel policies and regulations
• Maintain secure access credentials for authorized users
• Review confirmations and travel documents for accuracy
• Notify Exhibitravel promptly of any discrepancies or changes
Clients are responsible for ensuring that travelers comply with applicable laws, visa requirements, health regulations, and carrier policies.
4. Fees & Payment Terms
Fees for services are defined in executed agreements, proposals, or invoicing schedules. Payment terms, including billing frequency and applicable service charges, are outlined in client contracts.
Late payments may be subject to applicable fees or service suspension in accordance with contractual terms.
Airline, hotel, and other supplier charges are subject to the policies and conditions of those third-party providers.
5. Supplier & Third-Party Providers
Exhibitravel acts as an intermediary between clients and travel suppliers such as airlines, hotels, transportation providers, and event venues.
We are not responsible for acts, errors, omissions, service disruptions, delays, cancellations, force majeure events, or policy changes made by third-party suppliers.
All travel arrangements remain subject to the terms and conditions of the applicable supplier.
6. Cancellations & Changes
Cancellations, exchanges, and itinerary modifications are subject to supplier-imposed penalties and restrictions. Clients are responsible for any applicable change fees, fare differences, or cancellation penalties.
Exhibitravel is not responsible for non-refundable charges imposed by suppliers.
7. Limitation of Liability
To the fullest extent permitted by law, Exhibitravel shall not be liable for indirect, incidental, consequential, special, or punitive damages arising out of or related to the use of our services.
Our total liability for any claim arising under these terms shall not exceed the total fees paid for the services directly related to the claim, unless otherwise specified in a written agreement.
8. Force Majeure
Exhibitravel shall not be liable for failure or delay in performance resulting from causes beyond reasonable control, including but not limited to natural disasters, government actions, pandemics, labor disputes, transportation disruptions, or other unforeseen events.
9. Confidentiality
Both parties agree to maintain confidentiality of proprietary, financial, operational, and personal data shared in connection with travel program services, subject to applicable law and contractual obligations.
Additional confidentiality provisions may be outlined in executed client agreements.
10. Data Security & Privacy
Exhibitravel implements reasonable administrative, technical, and operational safeguards designed to protect sensitive information. Use of personal data is governed by our Privacy Policy.
Clients acknowledge that no system can guarantee absolute security, and agree to notify Exhibitravel promptly of any suspected security concerns related to authorized access.
11. Intellectual Property
All website content, materials, branding elements, and proprietary documentation remain the property of Exhibitravel unless otherwise agreed in writing.
Clients may not reproduce or distribute proprietary materials without prior written authorization.
12. Governing Law
These Terms & Conditions shall be governed by and construed in accordance with the laws of the State in which Exhibitravel operates, unless otherwise specified in a written agreement.
13. Modifications
Exhibitravel reserves the right to update or modify these Terms & Conditions at any time. Updates will be posted on this page with an updated effective date.
